Thinking about renting construction equipment from RDO? Whether you're planning your first project with us or just exploring your options, this guide overviews what to expect from the rental process — how it works, what you’ll need to get started and why customers continue to choose RDO again and again. 

Our Rental Process, from Start to Finish 

1. Submit Initial Inquiry 

  • Call your regional rental dispatch team:

- Mountain (Idaho, Utah, Wyoming): 619-357-5106 

- Southwest (Arizona, California): 619-443-3758

2. Provide Necessary Documentation 

  • Proof of insurance, including: 

- General Liability: Minimum of $500,000 per occurrence 

- Property Coverage: Must cover the most expensive unit on rent 

  • If property coverage is not provided, a 14% Limited Damage Waiver (LDW) fee will apply. This fee will not be refunded upon return of non-damaged equipment 
  • Certificate of Insurance (COI) must list RDO Equipment Co. as a certificate holder, and named insured (or additional named insured) must match the RDO account name (or be listed as DBA) 
  • Master rental agreement is required before equipment is released 

- This is a one-time requirement for your first time renting at RDO, unless specific machine addenda are needed 

3. Select Equipment & Attachments 

If you’re unsure about the exact equipment you need, our experts can help recommend the right machine or attachment based on your job and location. If you don’t see the equipment or attachment you're looking for online, call your local RDO store — we may still have it available 

  • Browse current rental inventory based on your region:  

Midwest – Minnesota, Montana, North Dakota, South Dakota  

Mountain – Idaho, Utah, Wyoming 

Southwest – Arizona, California 

Texas 

4. Coordinate Transportation 

We’ll work quickly to arrange transport, whether we’re delivering to your site or you’re picking up from an RDO store location.  

  • Photographs and mileage will be taken to document the condition and usage of the equipment 

  • For newer or more advanced machines, an RDO expert may walk you through setup and operation once the machine gets to your site

5. Service & Maintenance We Provide 

After you receive your rental, our team provides ongoing support to keep you up and running. 

  • Our Connected Support team proactively monitors equipment remotely to prevent unnecessary service calls and downtime.   

  • If a breakdown occurs, our service team aims to respond as quickly as possible. If the issue can't be resolved within 24 hours, we will work to provide a replacement machine (based on availability)

6. Return & Settlement Process 

We aim to make the return process straightforward and hassle-free. 

  • Equipment is inspected and photographed to verify its condition 

  • Usage hours are reviewed, and any overages or damages are billed

  • You'll be notified of any needed repairs within 48 hours — no surprise charges
